Telephone Tip: Conference Calling

There are a couple of options for setting up conference calls at UCAR.  For calls involving 6 participants or less (including the initiator), you can set up an ad-hoc conference call right from your Cisco desk or Polycom conference phone.  Calls involving more than 6 parties would be placed using the ReadyTalk service contract.  To set up a ReadyTalk conference, contact your Division Web Conferencing Administrative Lead here.

To create a conference call of up to 6 participants (including yourself) from a Cisco desk phone:
1) Dial the first party
2) After you are connected, press the "More" button on the phone
3) Then press the "Confrn" button
4) Dial the second party
5) After the second party has answered, press the "Confrn" button to bring them in to the conference
6) To add another party, press "More" and then "Confrn"
7) Dial the next party
8) After they have answered, press the "Confrn" button to bring them in to the conference
9) Repeat steps 6-8 to join up to a total of 6 parties (including yourself) to the conference

From a Polycom conference phone (triangular unit found in some conference rooms):
1) Dial the first party
2) After they answer, press "CONF", "flash", or the button with a three-person graphic (depending on the phone model)
3) Dial the second party
4) After they answer, press "CONF", "flash", or the button with a three-person graphic (depending on the phone model)
5) Repeat steps 3-4 to join up to a total of 6 parties (including yourself) to the conference

* If you end up in someone's voicemail, press "CONF", or the appropriate conference button for the phone model. This will add the call to the conference. Then press "CONF" again. Then press "#" followed by "4" to drop the last call, which in this case, is the call that went to voicemail.
* If you end up with a busy signal after dialing a party to be conferenced in, just press "CONF" and you will be returned to the conference call and the busy call will be dropped.

* Conference calls involving parties outside of UCAR will be dropped when the last UCAR participant hangs up.

For more information on conferencing using your Cisco desk phone and its other features, please see the phone user information web page.
